Booking, Deposits & No-Show Policy
Booking, Deposits & No-Show Policy
HueVine reserves dedicated provider time, treatment rooms, equipment, and appointment capacity for every guest. This policy is designed to protect appointment availability while giving guests a clear path back to standard booking privileges after older no-shows expire.
Standard $25 Appointment Deposit
A $25 appointment deposit is required to reserve standard HueVine appointments. The deposit is applied toward the eligible appointment balance when the appointment is completed as scheduled.
If an appointment is missed, cancelled late, or otherwise falls outside the applicable booking terms, the deposit may be forfeited in accordance with the terms presented at booking.
What Counts as a No-Show
A verified no-show generally occurs when a guest does not appear for a scheduled appointment, fails to cancel or reschedule as required, arrives too late for the scheduled service to reasonably be performed under HueVine's lateness rules, or otherwise abandons reserved appointment time without an approved exception.
Each verified no-show counts as 1 active no-show.
Rolling Six-Month No-Show Rule
HueVine uses a rolling six-month system. Each no-show has its own expiration date and remains active for six calendar months from the date of that incident.
- A January 10 no-show stops counting on July 10.
- A March 5 no-show stops counting on September 5.
- Each incident expires independently.
Older no-shows may remain visible in account history for recordkeeping, dispute resolution, fraud prevention, and operational review, but once an incident expires it no longer affects current booking privileges.
Booking Status by Active No-Shows
| Active No-Shows | Booking Status | Reservation Requirement |
|---|---|---|
| 0 | Standard Booking | $25 deposit |
| 1 | Booking Watch | $25 deposit + enhanced reminders |
| 2 | Protected Booking | 50% deposit |
| 3+ | Prepaid Booking | 100% prepayment |
0 Active No-Shows — Standard Booking
Guests with no active no-shows may book normally with the standard $25 deposit.
1 Active No-Show — Booking Watch
Guests may continue booking with the standard $25 deposit. HueVine may enable additional confirmations or reminders. When the incident reaches six months old and no other active no-show remains, the account automatically returns to Standard Booking.
2 Active No-Shows — Protected Booking
The standard $25 deposit is replaced by a 50% deposit for the scheduled appointment. Where the booking system can securely collect the required deposit, online booking may remain available.
As older incidents expire, the booking requirement automatically steps down. Two active incidents becoming one returns the guest to the standard $25 deposit.
3 or More Active No-Shows — Prepaid Booking
Appointments require 100% prepayment. Certain high-value, long-duration, equipment-intensive, or multi-service appointments may also require booking assistance or approval.
This status is not permanent. As incidents expire, the account automatically moves down through the applicable booking levels until normal booking privileges are restored.
Automatic Restoration of Booking Privileges
No manual release is required. HueVine's booking system recalculates active no-shows as incidents expire. When the active count reaches zero, the guest automatically returns to standard booking privileges and the normal $25 deposit.
Late Cancellations
Late cancellations and no-shows are separate appointment events. A late cancellation may result in loss of an applicable deposit or other consequences disclosed at booking, but it does not automatically count as a no-show unless it meets HueVine's no-show criteria.
Events That Do Not Count Against the Guest
When properly documented, the following do not count as an active guest no-show:
- HueVine cancels the appointment;
- a provider becomes unavailable;
- a HueVine scheduling or booking-system error occurs;
- a duplicate or staff-entered appointment is created in error;
- an approved emergency, severe-weather, or major travel-disruption exception applies; or
- another authorized service-recovery exception is approved.
Waivers and Exceptions
HueVine may review legitimate exceptional circumstances. Approved waivers are documented in the guest's account. Approval is not automatic, and the original appointment event may remain in history even when its active no-show effect is waived.
Duplicate Accounts
Creating a new profile does not erase no-show history. When HueVine verifies that duplicate profiles belong to the same guest, those records may be consolidated. Profiles are not merged solely because names are the same.
Booking Abuse or Evasion
Guests may not use duplicate accounts, alternate contact information, another person's account, false identity information, chargeback manipulation, or coordination with staff to bypass applicable booking requirements. Confirmed manipulation may result in correction of account history, required prepayment, restriction of self-service booking, or other action permitted by HueVine's terms.
Policy Updates
HueVine may update booking, deposit, cancellation, or no-show rules prospectively as operational needs change. Material changes will be reflected in the applicable booking terms.
Quick Summary: Every standard appointment starts with a $25 deposit. Each verified no-show counts as 1 active no-show for six months from its own incident date. One active no-show keeps the $25 deposit, two active no-shows require a 50% deposit, and three or more require full prepayment. As incidents expire, restrictions automatically decrease. When the active count reaches zero, the guest returns to standard booking privileges.
